About the role:
Based in our Auckland office, the Science Project Administrator will play a critical role in supporting and coordinating science activities to ensure projects are delivered on-time, within scope, and within budget. You will work closely with the Senior Research Manager and cross-functional teams to streamline project administration and maintain project excellence.
More specifically, you will be involved in:
- Creating and maintaining project documentation, practices, and policies.
- Coordinating internal resources (supply chain, legal, finance, marketing) and external vendors to enable smooth project execution.
- Tracking and reporting on project deliverables, risks, budgets, and timelines.
- Organising team travel, expenses, and conference participation.
- Acting as the primary administrative contact for external service providers.
- Coordinating shipping and logistics for clinical and preclinical study samples, including liaising with couriers, customs authorities, and research partners.
- Ensuring agreements, insurance, and contractual obligations are managed and executed in collaboration with Legal and Finance teams.
- Supporting budget management and alignment of project activities with financial reporting requirements.
- Contributing to R&D Tax Initiative documentation and updates as required.
What you will bring:
- 2+ years of experience in project and financial management roles, preferably in a science-related environment.
- Proven ability to manage multiple projects, track budgets, and deliver high-quality results.
- Strong project portfolio management, including risk analysis, problem-solving, and mitigation planning.
- Exceptional communication and interpersonal skills, with the ability to collaborate across teams.
- Proficiency with MS Office Suite and project management tools.
- Self-motivated, decisive, adaptable, and detail-focused.
